A PDF that’s too big is a small daily annoyance with a long list of causes: it won’t attach to an email, a portal rejects it, a page takes forever to load, or your drive fills up with scans. The fix is compression — but “compress” covers everything from a lossless tidy-up that changes nothing you can see, to an aggressive squeeze that visibly softens images. In most PDFs the images (and scanned pages) are the file — the text itself is a rounding error. That single fact explains almost everything about compression.

What actually makes a PDF big

Open a large PDF and it’s almost always one thing: images. A page of text is astonishingly small — a few kilobytes — because letters are stored as instructions, not pictures. A single high-resolution photo or a scanned page, on the other hand, can be several megabytes on its own. So a 30-page text document might be under a megabyte, while a 3-page scan is 20. Compression works by targeting exactly this: it re-encodes and down-samples the images so they take less space, while leaving the crisp, tiny text alone. Knowing this tells you what to expect — a text-heavy report won’t shrink much because there’s little to squeeze, but an image-heavy or scanned file can drop by 50–80%.

How to compress a PDF

Lossless vs. lossy: how much are you giving up?

Compression comes in two flavours. Lossless tidies up redundant data and re-packs the file without discarding anything you can see — the result is pixel-identical, just smaller. Lossy compression (what image down-sampling does) throws away some visual detail to save more space; done gently it’s invisible, done hard you’ll see softness or blocky artefacts in photos. The three levels above walk you along that scale. For a document you’ll print or archive, stay on the lighter end; for something that only needs to be readable on screen or emailed, Strong is usually fine.

Scanned documents: the biggest wins (and a special trick)

Scans are where compression pays off most, because every page is a full-resolution image. Two extra moves help a lot here. First, if the scan is in colour but the content is black text on white — a contract, a form, a letter — converting it to grayscale before or instead of compressing can shrink it dramatically with no loss of readability. Second, a scanned PDF has no searchable text; if you’re going to keep it, running OCR adds a text layer (which is tiny) so you can search and select — see making a scanned PDF searchable. Compress after OCR, not before, so the recognition works on the sharper original.

When compression won’t help (and what to do instead)

If a PDF is already small and text-only, there’s little to gain — the file is mostly text, and text is already tiny. If it’s huge because it has hundreds of pages rather than heavy images, compression won’t change the page count; splitting it into parts, or extracting just the pages you need, is the real fix. And if the bulk is one enormous embedded image you don’t need at full resolution, replacing or removing it is more effective than squeezing the whole document. Think about why the file is big before choosing the tool.

Is it private, and is it free?
